What is consultancy?

Consultancy involve activities done by individual or group of UiTM staffs by sharing their expertise with client from government agencies, private entities, and NGOs from local or international institutions. It must meet these three criteria :

Project has monetary value

There is official document; Offer Letter, Appointment Letter, Purchase Order etc

Project is not within your main scope of duties as stated in your employment or appointment letter.

Can we register contract research as consultancy?

Yes, contract research can be registered under UTV.

Does contract research registered under UTV contribute to MYRA and PI?

Yes, Contract Research data registered under UTV will be submitted to the respective departments for the MyRA and PI calculation.

Does consultancy projects contibute to MyATP calculation?

Yes, consultancy project contribute to MyATP.

How do we register our consultancy projects with UTV?

Consultants are required to use i’CONS to register their project. I’CONS can be accessed at this URL: https://daisy.uitm.edu.my/icon/sys-home.php/

Can we register project that is not in monetary term?

Non-monetary project is considered as CSR and can be registered as Expertise in MyATP.

Who is allowed register the consultancy projects on I’CONS?

Only head of the project is allowed to register projects on i’CONS, as a unique password will be created, and the management of the project will be fully responsible by the project leader.

What are the documents needed for registration of project?

The documents needed for project registration are:

Offer letter from client

Notification Form (approved by Deans/Director)

Budget/Proposal

How much service fee is charged by UTV for each project?

Fees are based on the following project value:

NO	PROJECT VALUE	FEES (% of Project Value)
1	RM1000 and below	RM50 or 10% which ever is lower
2	RM1001 – RM50,000	12%
3	RM50,001 – RM200,000	11%
4	RM200,001 – RM500,000	10%
5	RM500,001 – RM2M	9%
6	RM2M	8%

How to request for consultancy financial process?

All claims should be submitted to UTV via email. You can download all forms and checklist from our website. To request for financial process, scan all receipts and email both forms and receipts to: consultancy@uitmtechnoventure.com.my

Do i need to inform UTV once the project is completed and delivered?

Once completed, it is advisable to have an official letter from UTV to accompany submission of the deliverable so that both parties are well informed. However, it is also in our procedure to update project progress at least once a year.

When can we claim our honorarium?

Payment of honorarium is subjected to the following terms:

All direct and indirect cost has been paid except for honorarium.

Funds is available in the project ledger for the payment of honorarium.

Can honorarium be paid before the project ends?

Yes, honorarium can be paid before the project ends if the project is divided in phases and all the direct and indirect cost for that phases has been paid.

When and how do we have to pay for UTV service fee?

UTV service fee will automatically be deducted based on the payment received from client, and not based on the initial project value. If client paid in three progress payment, deduction will be based on each payment rather than the whole project value.

Will honorarium be paid in full or after deducting our PCB (Potongan Cukai Bulanan)?

Honorarium will be paid in full. At beginning of the following year, you will be issued with a statement of income from UTV on the honorarium paid. Based on the statement, you are responsible to declare the income received with the Inland Revenue Board (Income Tax).

What should i do if in the middle of the project, there is an adjustment to the project value, either increase or decrease?

It is not unusual that sometimes client request to cancel certain area of the project or to enhance certain area. Before agreeing to the suggestion, be sure to get an official request and inform us of the changes so that necessary adjustment can be made to the project value and service fee to UTV can be adjusted accordingly. It will also affect the SST paid to the Custom Department.
